Why it matters

A clear cancellation notice shows respect for participants' time. It reduces confusion and prevents people from showing up for an event that will not happen. It helps maintain trust and keeps the community informed. It also makes it easier to reschedule the program later. Good communication protects the center’s reputation.

Also say where updates will be posted (one place, such as your website or group chat) and when you will share the next update. People then stop calling you and know where to look.

Tips

Common questions

How far in advance should we send a cancellation notice?

Try to send it as soon as you know the event cannot happen, ideally at least a few days before the scheduled date. Early notice gives participants time to change plans.

Should we offer an alternative date in the same notice?

If a new date is already set, you can mention it briefly. If not, simply say you will share the rescheduled date later.

What if participants have already paid for the event?

Explain that any fees will be refunded or applied to a future session, and give a contact method for handling the payment.
